Our Design Process
1. Meet with a Select Services Advisor and discuss trip ideas in a 15 minute design call.
2. If ready to start planning, the client will pay the $350.00 non-refundable planning fee.
3. Once paid, a virtual first meeting will be set up with the clients to gather more specifics about the vacation. We ask that all adults traveling are present in order to fully understand the wants and needs of all travelers.
4. The advisor will then start the process of researching the best options based on destination reviews, our travel insights, and the client wishes.
5. The advisor will communicate with the client often, and as needed, in order to solidify the itinerary and capture the vision of the vacation.
6. Please note that Select Services trip itineraries may take longer to develop as our advisors deal with international destinations, language barriers, and unique cultural experiences. Because of this, there can be challenges like time zone differences, confusing responses from potential vendors, and currency conversions. This may slow down the booking process. Due to these realities, the rhythm may be a bit slower than our normal A Mouse and A Beach booking timeline and services that use pre-packaged vacations. Thank you for your patience through this process.
7. The advisor will send clients a personalized itinerary through Travefy. Clients will be able to access their real time plans through Trip Plans app and online. The advisor will walk new clients through this process but we highly recommend spending time looking through it as it will have useful country entrance information,optional recommendations of things to do while you are traveling, and useful travel tips before you depart. The amount of information can be adjusted by the advisor, and clients are welcome to ask for changes.
8. If a trip correction should be made or if clients are not happy with the recommendations and need more clarification, please reach out and request a phone call during business hours so that our advisors can understand and adjust their research and focus. Please note that we typically choose options that have high reviews and where we would feel comfortable vacationing or bringing our own families. We have connections within the industry that share about recent stays and experiences. If clients are adamant about certain properties, we will secure them for you but will request your decision in writing.
9. All quoted prices are subject to change without notice and are subject to availability. Prices cannot be guaranteed until paid in full or deposit is received. The faster you are able to commit to the accommodation, excursion, transportation, etc., the more likely it is to secure it and finalize your trip.
10. Possible Additional Fees:
a. Exchange Rate:
i. Final charged pricing may be slightly different due to the exchange rates between US Dollars and the destination currency. We cannot guarantee the exact final charge due to this.
ii. Some credit cards and bank cards charge a transaction fee when making purchases internationally due to exchange rates. We advise you to check with your credit card company or bank to understand their policies on this subject.
b. Trip Cancellation:
i. If the client has to cancel their trip, but would like to rebook their vacation to the same destination within a six month time period from cancellation date, then a non-refundable fee of $50 will be charged to the client for the time it takes to cancel and rebook, shift the entire vacation and dates, and attempt to secure the same reservations as before. This is a way to still have an incredible vacation planned and not have to pay $350 again.
ii. If the client has to cancel their trip and wants to rebook their vacation to the same destination but is unable to do so within a six month time period from cancellation date or wants to change their vacation destination after cancelation regardless of rebooking window, the trip would be considered a new booking and the client would be required to pay the total non-refundable fee of $350.
c. Additional Travel Parties:
i. If an additional travel party wants to join in on the planning process with the same vacation, they would also be required to pay the advisor the $350 non-refundable planning fee in order to help coordinate the large group and each family’s needs that arise during the travel planning and actual vacation time.
